Planning in Kochi

What a Wedding Planner in Kochi Actually Does

Kochi is one of the most rewarding places in India to marry — and one of the most logistically demanding. A single celebration might move between a temple in Ernakulam, a waterfront lawn on Bolgatty Island and a reception hall across the bridge in Kakkanad, with guests arriving from the Gulf, Europe and North America on three different days.

A wedding planner exists to hold all of that in one place. At Exa, our work begins long before the mandapam is dressed: understanding the two families, agreeing a realistic budget, shortlisting venues that genuinely suit the guest count and season, and then assembling the photographers, decorators, caterers, musicians and coordinators who will deliver it.

The distinction worth understanding is between a planner and a decorator or event management company. A decorator styles a stage. An event company executes a brief you have already written. A planning house writes the brief with you, negotiates on your behalf, and remains accountable for the whole celebration from the first conversation to the farewell brunch.

In practice that accountability is the product. When the caterer is late, the muhurtham window is tightening and two families are asking different questions at once, what you are paying for is a single person whose job is to absorb all of it — and a set of relationships with Kochi vendors built over years, which is what makes problems solvable at short notice rather than merely reported to you.

Where to Marry

Wedding Venues in and Around Kochi

Venue is the single decision that constrains everything else — guest count, budget, season and travel all follow from it. These are the areas we most often shortlist for couples marrying in Kochi, each with a different character and cost profile.

Bolgatty Island & Willingdon Island

Waterfront lawns and heritage palaces with harbour views — the classic choice for large Kochi receptions of 400 guests and above.

Fort Kochi

Colonial heritage hotels, courtyard properties and beachfront lawns, best suited to intimate and design-led celebrations.

Kakkanad & Vyttila

Modern convention centres and five-star ballrooms with easy access for city guests and generous parking.

Kumbalangi & the Backwaters

Lakeside resorts and private estates a short drive from the city, for couples who want water and quiet without leaving Ernakulam.

Cheranallur & Aluva

Large auditoriums and kalyana mandapams that handle traditional sadya-scale guest counts economically.

Nedumbassery

Airport-adjacent hotels — invaluable when a majority of your guests are flying in from the Gulf or further.

Traditions We Plan

Every Kochi Wedding Tradition

Hindu Weddings

Muhurtham timing governs everything, so we begin with the astrologer’s window and build the day outward from it. We coordinate temple permissions, the mandapam, nadaswaram, the sadya and the reception that follows — commonly at Ernakulam Shiva Temple, Chottanikkara or Guruvayoor for couples willing to travel north.

Christian & Syrian Christian Weddings

Church availability drives the calendar, and popular Kochi parishes book many months ahead. We manage the booking, the nuptial mass, choir and floral arrangements, and the reception — including the distinct customs of Syrian Christian families in central Kerala.

Muslim Weddings

Nikah, mehendi and the reception each carry their own requirements around timing, seating and catering. We work with venues and caterers experienced in these arrangements and coordinate halal catering as standard.

NRI & Cross-Cultural Weddings

Roughly half our Kochi enquiries come from families abroad. We plan entirely over video, send venue walkthroughs, manage vendor advances, and handle airport transfers and guest accommodation for arrivals clustered into a few days. Where two traditions meet, we design a sequence that honours both without exhausting anyone.

Budget

What Does a Wedding Planner in Kochi Cost?

There is no honest fixed price, and any planner quoting one before understanding your celebration is guessing. Cost in Kochi is driven by four things: guest count, venue tier, the number of events, and season — a December or a Thulam-month Saturday costs materially more than the same wedding in June.

Planners generally charge in one of three ways: a percentage of total spend, a flat planning fee, or a per-event coordination fee. We quote a flat fee against a defined scope, because a percentage model rewards a planner for spending more of your money — which is precisely the wrong incentive.

What a good planner should save you is usually close to what they cost. Negotiated venue and vendor rates, avoided duplication, and decisions made early rather than in a panic all carry real value. After an initial consultation we share a clear, itemised proposal with no obligation.

One further note on budgeting: the largest single line is almost always catering, and it scales directly with guest count. Trimming a guest list by fifty people changes a Kochi budget more than any other decision available to you — more than the venue tier, more than the décor. We would rather have that conversation honestly at the outset than watch a budget quietly overrun by twenty per cent in the final two months.

Plan Ahead

A Kochi Wedding Planning Timeline

For a peak-season Kochi wedding we recommend beginning 10 to 12 months out.

12–10 months

Set the budget, fix the muhurtham or church date, and lock the primary venue. Peak-season Kochi venues go early.

9–7 months

Appoint photographer, decorator and caterer. Begin guest list and accommodation planning for outstation families.

6–4 months

Finalise design and menus, book transport, order invitations, and confirm the sequence for every event.

3–2 months

Trials — food tasting, hair and makeup, décor mock-ups. Send invitations and open RSVPs.

1 month

Confirm run-sheets with every vendor, brief the families, and settle final headcounts.

Wedding week

Rehearsals, guest arrivals, vendor marshalling and on-ground coordination — handled entirely by us.

Before You Decide

How to Choose a Wedding Planner in Kochi

Kochi has no shortage of people who will call themselves wedding planners, and the term covers a genuinely wide range — from decorators who will also book a caterer, to established houses managing a full season of celebrations. The difference matters most on the days when something goes wrong.

Ask how many weddings they take

A planner running fifteen weddings in December is not going to be at yours. Ask directly how many they accept in your month, and who specifically will be on the ground on the day — the person selling to you is not always the person who turns up.

Ask how they are paid

A percentage of your total spend is the industry’s most common model and its least aligned: it pays the planner more when you spend more. A flat fee against a written scope removes that tension. Either way, get it in writing, and be clear about what happens if the scope changes.

Ask to see complete weddings

Portfolios are edited to their best three photographs. Ask to see one celebration end to end — the mehendi, the ceremony, the reception, the details nobody frames — and you will learn far more about consistency than a highlight reel can tell you.

Ask about vendor relationships

A planner’s real value in Kochi is not a directory; it is the ability to secure a photographer who is already booked, or hold a venue for a week while you decide. That comes from years of working with the same suppliers, and it is fair to ask how long those relationships have run.

Then trust the conversation

You will spend the better part of a year in regular contact with this person, through decisions that involve both your families and a significant amount of money. Competence is the baseline. Beyond it, choose the planner whose judgement you would be comfortable deferring to at eleven at night, three days before the wedding.

Common Questions

Wedding Planning in Kochi — FAQs

A planner manages your entire celebration end to end — budget, venue sourcing, vendor selection and negotiation, design, guest logistics, run-sheets and day-of execution. At Exa we also act as the single point of accountability between both families and every supplier.

Fees vary with guest count, venue tier, number of events and season. We quote a flat planning fee against a defined scope rather than a percentage of your spend, and share an itemised proposal after a complimentary first consultation.

For peak-season and destination weddings we recommend 10 to 12 months. Popular Kochi venues and photographers are booked well ahead, and we accept only a limited number of weddings each season.

We coordinate temple ceremonies across Ernakulam and at major temples including Chottanikkara and Guruvayoor, managing muhurtham timing, permissions, rituals and guest hospitality.

Yes. We plan Hindu, Christian, Syrian Christian, Muslim and cross-cultural weddings, and work with venues and caterers experienced in the requirements of each.

We can. Alongside full planning we offer partial planning and day-of coordination for couples who have done much of the work themselves but want experienced hands for the final stretch.

Timing

When to Marry in Kochi

The peak season

November through May is Kochi’s wedding season, and for good reason — the monsoon has passed, evenings are dry, and outdoor lawns and waterfront venues are at their best. December and January are the busiest weeks of the year, when NRI families return home and the city’s better venues, photographers and caterers are booked twelve months out. If your date falls here, treat every booking as urgent.

The monsoon months

June to September is widely avoided, which is exactly why it can be worth considering. Rates soften considerably, the best vendors are available, and Kerala is at its greenest. A monsoon wedding demands proper planning — covered walkways, a genuine indoor contingency for every outdoor moment, and honest guidance to guests about travel — but handled well it produces some of the most atmospheric celebrations we plan.

Working around the muhurtham

For Hindu families the astrologer’s window, not the calendar, sets the date — and auspicious windows cluster, which means half of Ernakulam may be marrying the same weekend. Bring us the muhurtham as early as you have it; the difference between securing your first-choice venue and settling for a third is often a matter of weeks.

Months to approach carefully

Karkidakam, the Malayalam month falling roughly across July and August, is traditionally avoided for weddings by many Kerala families. Church availability similarly narrows during Lent. Neither rules out a celebration, but both shape which dates are realistically open, and it is better to know at the outset than after you have set your heart on a weekend.

Hospitality

Guests, Travel and Accommodation

A Kochi wedding is rarely one event in one place, and for families with relatives arriving from abroad, hospitality is half the work. Cochin International Airport at Nedumbassery sits roughly 30 kilometres from the city, and arrivals tend to cluster into two or three days — which means transfers need to be scheduled rather than improvised.

We handle room-block negotiation with hotels near your venue, airport transfers, and a clear arrival schedule shared with both families. For elderly relatives we plan seating, shade and accessible routes deliberately; for younger guests arriving between events, we keep a runner available so nobody is stranded waiting for a car.

Where guests are travelling internationally, we also prepare a simple information pack — what to wear to each event, what the weather will actually be like, and how long each journey takes across a city where a bridge crossing at the wrong hour can cost forty minutes. It is a small courtesy that removes a disproportionate amount of anxiety.
